The Admission Associate plays an essential role as a member of Chadwick's admission team.
This position is a combination of data management, guiding prospective families throughout the admission process (primarily application management and general questions), and general office support.
Many responsibilities also require a high level of collaboration with other offices on campus.
The Admission Associate is often the first point of contact for prospective parents, students, and the community at large, demanding integrity and confidentiality, as well as warmth and excellent communication skills.
This role regularly engages with prospective families, providing timely, thorough, and persuasive communication about the people, programs, and opportunities at Chadwick.
Strength and fluency with technology, including database management and admission office software, are also critical, as a significant aspect of the role involves overseeing steps in the application process and ensuring that all information is accurate and complete.
Knowledge or experience of the culture of independent schools is desirable, working occasional nights and weekends is necessary, and a personal and relational approach with families is critical.
Primary Responsibilities Serve as the main point of contact for families making their way through the admission process in person, over the phone, and via email.
Serve as the admission coordinator, helping families complete the admission process and managing all application files, materials, etc.
Oversee office functions, including answering admission phone calls, scheduling appointments, ordering supplies, preparing mailings, assisting with events and functions, and maintaining common office spaces.
Maintain admission office/application database (Veracross) and partner with the database administrator to prepare reports as needed; this position works extensively with considerable amounts of data daily.
Maintain the calendar for all members of the admission team and work with other constituencies on campus and off to aid in the scheduling of meetings and events.
Work directly with the Directors of Admission and of Financial Aid on a wide range of projects and tasks.
Serve as an onsite administrator for admission-related entrance exams (occasional weekend evaluations required).
Attend regular campus-specific and cross-campus staff meetings and events.
Perform other duties as required by the Directors of Admission.
Associated Responsibilities Be on campus from approximately 7:
45 am until 3:
45 pm on days when school is in session; have flexibility to work evenings and weekends for events and admissions-related activities.
Articulate the value proposition of the school; showcase success stories of current students who have embodied the school's mission.
Collaborate with colleagues in the admission office and other school departments to enhance the overall admission experience and contribute to the school's strategic goals.
Maintain accurate records and data related to prospective and admitted students, ensuring timely and efficient communication.
Willingness to engage in continuous professional development and stay updated on educational trends and best practices.
May represent Chadwick at appropriate professional meetings (e.
g.
:
LAIS, EMA, AISAP, NAIS, etc.
) Attend all team, school, and relevant faculty-staff meetings.

Required and Preferred Experiences and Skills Bachelor's degree required.
Experience in admissions or recruitment within an independent school or college preferred; experience in office administrative roles and customer service roles also considered.
Well-developed organizational and interpersonal skills and the ability to manage multiple tasks and projects concurrently, often with competing priorities.
Excellent oral and written communication skills and interpersonal abilities.

Self-starter who enjoys building partnerships and relationships.
A familiarity with Admission Office CRMs (ideally, Veracross), Microsoft Office Suite, Google Suite, and Zoom.

Work Environment and Physical Requirement Required to lift and carry up to a maximum of 25 lbs.
